Maintenance

  • Coordinate routine maintenance, e.g. pest control and air conditioning service.

  • Keep a schedule and log of routine maintenance

  • Make recommendations, obtain quotes and coordinate periodic preventative maintenance.

  • Obtain quotes for and oversee large  maintenance jobs.

  • Coordinate repair of small maintenance jobs.

  • Keep a record of all maintenance carried out.

Inspection

  • Visit property on a twice weekly basis, checking inside and outside for anything awry.

  • Check water is running properly.

  • Flush all toilets.

  • Log property inspection visits.

  • Escalate any issues to owner and coordinate repairs.

  • Water indoor and verandah plants.

  • Check answer machine if applicable.

  • Ensure staff have performed required services (cleaner/gardener/pool servicing).

  • Escalate repairs as necessary.

Set up

  • Coordinate cleaning.

  • Stock up on cleaning supplies.

  • Stock up on toilet paper and paper towels, laundry detergent, hand soap etc.

  • Check air conditioning units are working.

  • Check all lights are working.

  • Check electrical appliances are working.

  • Check television/s are working.

  • Check internet is working.

  • Check fans are working.

  • Check property meets cleaning standards.

  • Check grounds have been adequately maintained.

  • Check pool is adequately serviced.

Promotion

  • List property on our website.

  • List and promote property on social media platforms.

  • Show property to potential guests.

Guest Management

  • Introduce management team prior to arrival via email, Whatsapp, or telephone.

  • Purchase groceries on behalf of guests arrival as required.

  • Meet and greet guests.

  • Provide concierge services as required prior to and throughout stay.

  • Deal with any issues that arise during stay.

  • Coordinate mid stay clean as required.

  • Collect funds if necessary for additional services rendered.

  • Create welcome manual for guests.

Break Down

  • Empty garbage cans.

  • Wash dishes.

  • Wash and dry sheets, towels, etc.

  • Clean house thoroughly.

  • Wipe down windows.

  • Secure outdoor furniture.

  • Ensure doors and windows are locked and secured.

Transport & Other

  • Arrange taxi to and from the airport, or Organize car rental.

  • Arrange taxi or Rental to and from the airport.

  • Check post box.

  • Start vehicle engine once weekly.

Online Travel Agencies

  • Set up profiles on online travel agencies

  • Respond to queries from potential guests

  • Manage calendar

Health & Safety

  • Ensure property has a first aid kit that is routinely checked and replenished as necessary.

  • Ensure property has an adequate number of smoke detectors that are kept in working order and checked on a routine basis.

  • Ensure property has a fire extinguisher in good service.

  • Ensure property handbook includes information on what to do in the event of a fire, hurricane or other emergency.

  • Ensure exits are marked.

  • Ensure emergency contact information is displayed.

  • Keep a log of all health and safety checks.

Inventory

  • Create detailed property inventory.

  • Determine which items should be checked after each booking (frequent inventory).

  • Carry out frequent inventory checks and maintain a log.

  • Carry out checks for periodic inventory, including presence and condition and

  • maintain a log.

  • Feedback any items in need of replacement or repair to client.

Security

  • Coordinate and supervise security guards as required.

  • Be point of contact for security systems breaches.

  • Monitor and receive alerts for camera sensors and points of entry.

Accounting

  • Maintain funds for client expenses.

  • Maintain accounts and petty cash ledgers.

  • Make accessible copies of invoices and receipts for client expenses.

  • Pay utilities, payroll, and other expenses.

  • Help prepare budget and cashflow forecast as necessary.
